A commercial roller shutter on an industrial unit

Better Looking Shutters. Revenue doubled. $250k of admin gone.

A Western Australian roller shutter manufacturer was turning away growth because the office could not keep up. We built an AI team that answers every enquiry, books the work in and runs the advertising. The business grew to twice the size on the same admin team.

What was slowing the business down?

Demand was there, but every job had to pass through a small office team by hand. New enquiries waited for someone to be free, quotes were written one at a time, and jobs were juggled across a spreadsheet and the phone. The office, not the factory, was the limit on how much work the business could take on.

Roller shutters are a considered purchase. A customer who does not hear back quickly simply calls the next company. Because enquiries were answered whenever someone had a spare moment, often the next day, good leads were going cold before anyone had spoken to them. At the same time, the advertising that brought those leads in was started and stopped depending on who had time to manage it, so the flow of work was uneven and hard to plan around.

The owners did not want to solve this by hiring more administrators. Every new person added cost, needed managing and still left the same bottleneck in place on a busy week. They wanted the repeatable office work to simply take care of itself.

We used to lose our evenings to quoting and chasing. Now the leads book themselves, the schedule fills itself, and the numbers in this study came straight out of our own accounts.
Owner, Better Looking Shutters
The office was the handbrake. Every job had to squeeze through two people, and those two people were already full. We took the repeatable work off their desk so the business could grow into the demand it already had.

What did we build?

We built an AI team: a set of AI workers that handle whole office jobs together, with a person always in charge. It answers enquiries, prepares quotes, books jobs into the schedule and keeps the advertising running. Nothing needs a staff member to press start, and staff can step in or change anything at any time.

It helps to think of it the way you would think of hiring people, except these workers do not tire, do not take a sick day and reply in the middle of the night. One handles the first reply to every enquiry and gathers the details needed to quote. Another turns those details into a quote. Another manages the calendar so installs are booked without clashes. Another keeps the advertising live and steady so the pipeline does not dry up. They pass work between each other the way a good office team would.

Everything runs inside the tools the business already used, so the team did not have to learn a new system or change how they work. The AI does the repetitive part; people make the decisions that need judgement.

How does the AI team work day to day?

An enquiry arrives, from the website, a phone message or an ad. Within minutes it is answered, the customer's details and requirements are captured, and a quote is prepared. When the customer says yes, the job is booked into the schedule. The owners see everything as it happens and only step in when a decision needs a human.

The difference the customer feels is speed. They ask about a shutter and get a fast, useful reply instead of silence. The difference the office feels is quiet. The steady drip of small tasks, the chasing, the re-typing, the "did anyone get back to them" moments, is simply gone. The team spends its day on the work that actually needs a person.

What changed for the business?

Revenue roughly doubled on the same admin headcount, and about $250,000 a year of manual office work was removed. Because every enquiry is now answered in minutes and the advertising runs without gaps, more leads turn into booked jobs, and the business can take on that extra work without the office falling behind.

Could this work for other manufacturers?

Yes. Most small and mid-size manufacturers lose the same way Better Looking Shutters was: slow replies, manual quoting and an office that cannot keep pace with the factory. Any business where enquiries, quotes and scheduling eat up the day can hand that repeatable work to an AI team and free its people for the work that needs them.

We start every engagement by working out where the real time and money is going, then build only what earns its place. If you make or install a product and the office is your bottleneck, this is the kind of problem we solve. The two jobs at the centre of it have their own pages: automate quoting and automate admin.

Common questions

What did the AI team actually do for Better Looking Shutters?

It answered every new enquiry within minutes at any hour, prepared quotes from the enquiry details, booked confirmed jobs straight into the schedule, and kept the advertising running. A person stayed in charge of every step and could change anything at any time.

Did Better Looking Shutters have to hire more office staff to grow?

No. Revenue roughly doubled on the same admin headcount. The AI team absorbed the repeatable office work, which is where about $250,000 a year of manual effort was going, so the existing team could handle far more work without growing.

Did the team lose control by handing work to AI?

No. A person is in charge of every part of the AI team and can see, change or stop anything at any time. The AI does the repetitive work and hands anything that needs judgement to a human.

How long did it take to build?

We build in stages so value arrives early rather than all at the end. The first working part of the AI team is usually live within weeks, and we add to it from there based on what makes the biggest difference.
