AI for real estate agencies: the engine room, not another gadget for one agent.

Most AI tools in real estate are toys for a single salesperson. We build for the operation behind the agency: appraisal preparation, listing copy, maintenance follow-ups, arrears chasing and owner reports, with your licensed people in charge of every decision.

What can AI do in a real estate agency?

It runs the office work behind sales and property management: pulling comparable sales and drafting the appraisal pack, writing first drafts of listing copy, chasing maintenance jobs and lease renewals, following up arrears, and drafting the monthly owner reports. Your people stay in charge; the routine chasing and drafting takes care of itself.

An agency is really two production lines. Sales turns appraisals into listings into settlements. Property management turns the same week of follow-ups, inspections and reports over and over. Both lines are full of work that follows a pattern, and patterned work is what AI automation does best.

A week in the agency, and what AI takes off it
The jobWhat the automation does
Appraisals and CMAsPulls the comparable sales and drafts the pack, ready for the agent's judgement
Listing copy and adsFirst drafts in your agency's voice, ready to polish
Maintenance follow-upsKeeps tenants, tradies and owners in the loop without a person chasing each step
Arrears and renewalsChased on time, politely, every time
Owner reportsDrafted from the month's activity, ready to review and send
Agencies rarely lose an owner over one bad month. They lose them over a hundred small silences: the follow-up that never came, the report that came late. That is exactly the work AI never forgets to do.

Where does it pay off first?

Property management. Across the industry it is typical for a property manager to lose somewhere around eight to twelve hours a week to follow-ups and chasing, and that work runs to the same patterns week after week. That is an industry figure, not our promise, but it is why PM is the first place we look in most agencies.

Every hour of chasing that disappears is an hour a property manager can spend on the work owners actually judge them by: inspections done properly, problems handled early, and a phone call before a small thing becomes a complaint.

Have you built for the property sector before?

Yes, for property software rather than agency operations, and we will be straight about that. We built the AI behind JBP Consultancy's software, which lays out office designs and prices fit-outs automatically. What that proves is that we know property workflows and documents, not that we have run a rent roll. The office mechanics of an agency, enquiries, quotes, follow-ups, reports, are the same ones we automated at Better Looking Shutters, where revenue doubled on the same admin team.

What stays with your licensed people?

Everything that needs judgement or a licence: negotiations, appraisal decisions, condition disputes and anything the legislation puts in a licensed person's hands. We do not automate decisions inside your trust accounting either. The paperwork around it can be drafted and chased; the judgement and the compliance stay with your people.

Do you own what we build?

Yes. You own everything we build. Fixed price or monthly, no lock-in. It works with the systems your agency already runs, and it stays yours whether or not we ever do another job together. Our office is in Ardross, Perth, and we work with agencies across WA and Australia-wide.

How we build it

No big-bang project. We start with the job that pays back fastest and grow from there.

We learn how the agency runs

Sales and PM, your systems and where the hours go. A short, honest look that works out what is worth automating first and what is not.

We build the first automation

Usually in property management, where the chasing is heaviest. Built around your PM platform and live in weeks rather than months.

Your people stay in charge

Every message and report is visible, changeable and stoppable, and anything needing judgement lands with a person, details already gathered.

We extend across the agency

Once PM is running smoothly, we move to appraisal prep, listing copy and the rest. The system grows with the rent roll, and you own all of it.

Common questions

Does it work with our property management software?

Yes. We build around the systems your agency already runs: PropertyMe, VaultRE or whichever PM platform and CRM your office runs, alongside MYOB, Xero and your spreadsheets. The automation fits into how the office already works rather than asking you to replace anything.

Is this for sales or property management?

Both, but property management usually pays off first, because its work is the most repetitive: follow-ups, arrears, renewals and reports, week after week. Sales sees the lift in appraisal preparation and listing copy. The same approach scales from a single office to a multi-office group: bigger agencies start with one department, prove the number, then expand.

What about tenant and owner privacy?

Tenant and owner data stays in your own systems and accounts. We build on OpenAI, Anthropic and Microsoft models under business terms, which means your data is not used to train public models. Everything we build belongs to your agency, and the full detail is on our security page.
