A lot of Power BI consulting starts with the dashboard and works backwards. Ours starts with the grind. In the 50 to 500 person businesses we work with, monthly reporting is usually a person: an office manager or bookkeeper who spends days each month exporting, pasting, reconciling and formatting, and who quietly dreads the first week of the month. By the time the pack circulates, the numbers are weeks old and the meeting about them is a history lesson. Can Power BI read MYOB, Xero and our job software?

Yes, with honest caveats. Xero feeds Power BI through purpose-built third-party connectors available in the Xero App Store. MYOB has no native Power BI connector, so we build a feed against its API, use a proven third-party connector, or schedule an export as a plain fallback. Cloud job management systems usually offer an API or a report export we can collect on schedule; older desktop software usually needs an export step, and we automate that too.

The bigger caveat is the data itself. Power BI does not fix bad data, it dresses it up. If jobs are coded three different ways, if half the timesheets land late, if the hire register has a column nobody has filled in since last year, the report will present all of it with complete confidence. Early in most engagements we spend time in the sources, tightening how things are entered and agreeing what each number means, before we polish anything visual. It is unglamorous work, and it is where accurate reporting is actually won.

What does automated monthly reporting look like?

Data flows from your systems into Power BI on a schedule, overnight or hourly, and the pack rebuilds itself as the numbers land. AI drafts the commentary, what moved, why it matters, what to ask about, and a manager checks it before it goes anywhere. Each report reaches the people who need it before the month closes, and nobody exports anything.

For a WA trades, hire or services business, the monthly pack usually means revenue and margin by job and by client, work in progress, debtor days, quote conversion, plant utilisation and wages against timesheets. The same machinery then handles the weekly views for free: jobs booked, purchase orders raised and still unmatched, quotes sent and not yet followed up. Where the delivery needs wiring, a report landing in a Teams channel, a PDF going to a client on the first of the month, an alert when debtor days blow out, we build it with Power Automate, the workflow tool already included with most Microsoft 365 plans.

There are two honest paths for the commentary. Microsoft's Copilot can summarise a report from inside Power BI, but it requires paid capacity-based Fabric licensing, which most mid-size businesses do not otherwise need. More often we build a small piece of custom software that has an AI model read the refreshed numbers under business terms and draft the commentary, then send it with the pack. Either way a person signs off before anyone acts on it. That checkpoint is not optional, and we design it in from day one.

When is Power BI the wrong tool?

When the data underneath is a mess, when you only need a handful of numbers, or when the real problem is a process rather than a report. Power BI makes unreliable data look authoritative. A five-line email every Monday can beat a dashboard nobody opens. And no report fixes a quoting process that is losing work.

Dashboards nobody opens are this industry's quiet failure mode, and they usually start life as a wall screen someone thought the office should have. We design for the Monday morning question instead: what does the GM actually need to know this week, and what will they do differently once they know it? If a report has no decision attached to it, we will tell you it is decoration and take it off the list. And sometimes the honest recommendation sits upstream of reporting entirely. If the office is drowning in manual admin, automating those jobs pays back faster than reporting on them.
