AI for mining services companies, not the mines themselves.
We build AI for mining services businesses in Western Australia: plant hire, maintenance contractors, labour hire and site services. Not autonomous trucks. The office work: quoting, tenders, compliance paperwork, scheduling and the reporting that fills every month.
What can AI actually do for a mining services business?
It runs the office work that sits around every contract: preparing quotes and tender responses, filling prequalification and compliance paperwork, scheduling crews and equipment, chasing purchase orders and drafting the monthly client reports. The work your site people only notice when it is late.
Mining services businesses live and die on paperwork they never get paid for. Every client wants its own prequalification pack, its own reporting format, its own portal. The site work wins the contract, but the office work keeps it, and most of that office work follows the same patterns month after month. That is exactly the kind of work AI automation is for. It holds at five staff or five hundred: in a larger contractor we start with one department, prove the number there, then expand.
Where does the time go in a mining services office?
Into the same handful of jobs, over and over: tender and prequalification packs, hire and service quotes, the records behind permits and JHAs, monthly reporting in each client's format, and chasing purchase orders and invoices. Each one follows a pattern, and patterned work can be handed over.
| The job | What the automation does |
|---|---|
| Prequalification and tender packs | Drafts responses from what you have already written, ready for your review |
| Hire and service quotes | Prepared from the enquiry and your rates, ready to check and send |
| Permit, JHA and take-five records | The paperwork filled, filed and findable when the auditor asks |
| Monthly client reporting | Numbers pulled together and drafted, in each client's format |
| Purchase orders and invoices | Raised, matched and chased so nothing slips |
Nobody wins a mining contract because their paperwork was beautiful. But plenty lose time and margin because the office is drowning in it.
What should AI never touch on a mine site?
The safety decisions. Anything that needs a competent person to inspect, judge or sign off stays with your people. We automate the paperwork around the safety system, the filling, filing, chasing and reporting, never the judgement inside it. And we will tell you straight when a job is not worth automating.
Has this worked for a real WA business?
Yes. PSG Plant Hire supplies machinery to mining operations across WA. We built online booking with AI handling quotes and scheduling behind it, so customers reserve equipment at any hour and the after-hours work that used to walk out the door gets captured instead. At PSG, about 40% of bookings now land outside office hours.
Mining does not keep office hours, and that is exactly why the automation earns its keep. A site that needs a machine or a crew at nine at night needs it then, whether your office is in Perth, Karratha or Kalgoorlie. We build it all from our Ardross office in Perth, for mining services businesses across WA and clients Australia-wide.
Do you own what we build?
Yes. You own everything we build. Fixed price or monthly, no lock-in. Mining services businesses have seen enough vendors who rent you your own systems. We build on your side of the fence, hand you the keys, and you choose whether to keep us around.
How we build it
No big-bang project. We start with the job that pays back fastest and grow from there.
We find where the time goes
A short, honest look at your office to see which repetitive jobs cost the most, quoting, compliance admin, reporting or chasing. We work out what is worth automating and what is not.
We build the first automation
The one with the biggest payback goes first, built around your clients' formats and your systems, and working in weeks rather than months.
A person stays in charge
Your office oversees everything the automation does, and anything unusual lands with a person, details already gathered. Safety judgement never leaves your people.
We add to it
Once the first job is proving itself, we automate the next one. The system grows with the contracts, and you own all of it.
Common questions
Does it work outside office hours?
Yes, and for mining that is the point. Sites run around the clock and your office does not. Enquiries, bookings and requests that land at night or on a swing changeover are captured and handled instead of waiting for morning.
Can it handle vendor prequalification packs?
Yes. The automation assembles the pack from documents you already have, insurances, licences, procedures and JHAs, in the format each client asks for. A person reviews every pack before it goes out.
Will it work with the systems we already run?
Yes. We build around what you already use: MYOB, Xero, Microsoft 365, your job and maintenance systems, and the portals your clients run. The automation fits into how the business already works rather than making you replace anything.
Is our data safe?
Yes. Your data stays in your own systems and accounts. We build on OpenAI, Anthropic and Microsoft models under business terms, which means your data is not used to train public models. The full detail is on our security page.
