Copilot Studio for Australian businesses: real examples and what it costs.
What Copilot Studio is actually good for, two builds from our own sales calls this month, what it costs in Australian dollars, and the jobs where we would point you at something else.
What is Copilot Studio, and what is it used for?
Copilot Studio is Microsoft's tool for building your own AI agents inside Microsoft 365. An agent answers questions from your documents, follows your process and takes actions through Power Automate and connectors. Small businesses use it most for staff help desks, document reading and first drafts of routine work like quotes.
Think of it as the place where Microsoft Copilot stops being a general assistant and becomes something that knows your business. You point an agent at chosen knowledge, like a SharePoint library of policies or a folder of past jobs, tell it what its job is, and give it a few actions it is allowed to take. Staff then use it in Teams or in Copilot Chat, signed in with the Microsoft accounts they already have.
The big reason Australian businesses choose it is not the AI. It is where it lives. Your data stays in your own Microsoft tenancy, under the permissions and sign-in your IT person already manages. For some businesses that is a preference. For others, as the first example below shows, it is the only option on the table.
What can you build with Copilot Studio? Real examples
The examples that pay off are narrow: one job, one team, one set of documents. Common ones are a policy and procedure help desk, an agent that reads incoming documents into a SharePoint list, an enquiry triage agent, and a quoting assistant that drafts a first price from your own rules and past jobs.
Here is the list we work from when a business asks what is realistic, roughly in order of how often it is the right first build:
- Internal help desk. Staff ask how to do something, the agent answers from your procedures and links the source document. It saves the senior person from being interrupted all day.
- Document reader. A new PDF lands in SharePoint, the agent pulls out the parts that matter and writes them into a list. Approvals, contracts, compliance conditions, supplier terms.
- Enquiry triage. New enquiries get sorted, tagged and routed to the right person with a short summary, so nothing sits unanswered in a shared inbox.
- Quoting assistant. The agent reads the request, applies your pricing rules and drafts a quote for a person to check. Never sent without a human looking at it.
- Onboarding guide. New starters ask the agent instead of the person sitting next to them, from the induction material you already wrote.
The two examples below are from sales calls we ran in October 2026. Neither is finished, so treat them as what the work looks like at the start, not as results.
If you want the longer version of the document side, our page on AI document processing covers how we set up reading, checking and filing for approvals, invoices and contracts.
How much does Copilot Studio cost in Australia?
Copilot Studio is billed on usage, in Copilot Credits. A capacity pack of 25,000 credits costs A$299.30 a month before GST. Pay-as-you-go is US$0.01 a credit, billed through Azure. Staff with a Microsoft 365 Copilot licence can use internal agents at no extra charge, within fair use limits.
Microsoft's licensing changes often, so every figure below comes from Microsoft's Australian Copilot Studio pricing page, its Microsoft 365 Copilot pricing page and the Copilot Studio licensing guidance, checked on 29 October 2026. Australian prices exclude GST.
| Option | Price | What you get |
|---|---|---|
| Copilot Chat | Included with eligible Microsoft 365 plans | General AI chat for staff. Not a Copilot Studio licence on its own. |
| Microsoft 365 Copilot Business (add-on) | A$31.40 a user a month billed yearly, A$26.91 on a first-year promotion to 31 December 2026, or A$37.68 on monthly billing | Copilot in Word, Excel, Outlook and Teams. Licensed staff can build and use internal agents, with that usage not charged in credits. |
| Copilot Studio capacity pack | A$299.30 a month | 25,000 Copilot Credits a month, shared across your whole tenancy. Needed for customer-facing agents and staff without a Copilot licence. |
| Pay-as-you-go | US$0.01 a credit, billed monthly in arrears | Same features as a pack, no commitment. Needs an Azure subscription linked to the environment. |
What uses up credits, per Microsoft's billing rates: a scripted answer is 1 credit, an AI-written answer is 2, an agent action is 5, and an answer grounded across your whole tenancy's data is 10 more on top. Reading a document with the built-in content processing tool is 8 credits a page. At the pack price, that is about 2.4 cents for a normal answer and about 10 cents a page for document reading, so one pack covers roughly 12,000 ordinary answers in a month.
What are the hidden costs of Copilot Studio?
The licence is rarely what hurts. The real costs are long documents billed per page, reasoning models billed by the token, agents that stop when capacity runs out, and the time it takes to sort the knowledge the agent answers from.
- Per-page document reading. At 8 credits a page, a 40-page approval is about A$3.80 at the pack rate. That is fine for a handful a week and worth comparing against other routes when it is hundreds. We check which way is cheaper for your volume before building.
- Reasoning models. If an agent uses a reasoning model, Microsoft adds a charge of 10 credits per 1,000 tokens it processes, on top of the normal rate. Long instructions and long conversations add up quickly.
- Agents switching off. On prepaid capacity, Microsoft disables custom agents once you reach 125% of what you bought, until you buy more or the month resets. Admins can set a monthly limit per agent, and should.
- Knowledge clean-up. The agent answers from whatever you point it at. Three versions of the same policy give three different answers. Most of the real work on a first agent is sorting the documents, not the build.

See Copilot Studio buildsWhen is Copilot Studio the right tool, and when is it not?
Copilot Studio wins when your people, documents and sign-in already live in Microsoft 365, the users are your own staff, and the job is answering, reading or routing. It is the wrong tool when the work lives in software outside Microsoft, or the team that needs it does not use Copilot.
It tends to be the right call when:
- Compliance or IT says the data stays inside your Microsoft tenancy, full stop.
- The knowledge is already in SharePoint, OneDrive or Teams.
- Staff already have Microsoft 365 Copilot licences, which makes internal agent use free of credit charges.
- The steps after the AI are Microsoft steps: a SharePoint list, an Outlook email, a Teams message, an approval in Power Automate.
It tends to be the wrong call when the job has to reach deep into Xero, MYOB, ServiceM8 or industry software, when it needs judgement across several systems, or when the people who need it simply do not live in Copilot. Then a custom build or another AI tool usually does the job better and cheaper.
Copilot Studio vs Copilot agents vs Power Automate: which do you need?
Use a simple Copilot agent when staff just need answers from a few documents. Use Copilot Studio when the agent needs actions, rules, its own knowledge or a channel outside Copilot. Use Power Automate when there is no judgement involved and the same steps run every time.
The names overlap, which is half the confusion. Microsoft lets licensed staff build simple agents straight inside Microsoft 365, and Copilot Studio is the fuller builder for anything with actions, multiple steps or customer-facing use. Our explainer on Microsoft Copilot agents walks through the types and which licence each needs. Power Automate is older and not AI by default: it moves data from A to B on a trigger. The good builds combine them, with Power Automate doing the steps and the agent doing the reading and deciding.
If you are weighing up the whole Microsoft stack rather than one tool, our Microsoft AI services page lays out how Copilot, Power Automate, Power BI and Azure fit together for a small or mid-size business.
How long does a first Copilot Studio agent take?
A focused first agent, one job for one team, usually goes from kickoff to a working pilot in a few weeks. The build itself is quick. Most of the time goes into choosing and cleaning the knowledge it answers from and testing it on real questions from real staff.
A fair warning from experience: agents thrown together in an afternoon are the ones staff try once, get a confident wrong answer from, and never open again. Pick one job, test it with the people who will use it, then add the next job. That is also how you find out what it actually costs to run before you commit to more.
Build it where your data already lives, give it one job, and sort the documents before you build the agent.
Common questions
Is Copilot Studio free?
Not on its own. Staff with a Microsoft 365 Copilot licence can build and use internal agents without credit charges, within fair use limits. Anything else, including customer-facing agents and staff without a Copilot licence, uses credits from a capacity pack or pay-as-you-go.
Do I need a Microsoft 365 Copilot licence to use Copilot Studio?
No. Copilot Studio can run on a capacity pack or pay-as-you-go without Copilot licences. The licence changes how staff usage is billed, so for a team that already has Copilot it often makes internal agents much cheaper to run.
Can a Copilot Studio agent talk to customers on our website?
Yes. Agents can be published to channels outside Microsoft 365, including websites, but that usage is billed in credits, not covered by staff Copilot licences. For customer-facing work, compare it against a custom chat build before you decide.
Does Copilot Studio keep our data in Australia?
Agents run inside your own Microsoft tenancy, under your existing permissions and sign-in. Where the data is stored and processed depends on your tenancy and Microsoft's data residency terms, so confirm it with your IT provider if you have a regulatory requirement.
Can our own staff build agents?
Yes. Copilot Studio is designed for capable office staff, not only developers, and the people closest to the work make the best builders. Most need a guided first build and someone to check permissions and costs before it goes wide.
Checked 29 October 2026. Microsoft changes Copilot licensing and credit rates often; Australian prices exclude GST, and your Microsoft 365 admin centre shows the exact figure.
