AI tool pricing in Australia: what a small business really pays each month.
Chat tools, note takers, automation platforms and API usage, priced in one place, with two sample monthly stacks. And the costs that never show up on an invoice.
How much does AI cost a small business in Australia?
Most Australian small businesses spend about A$35 to A$90 per person a month on AI tools. That covers a business seat on Claude, ChatGPT or Microsoft Copilot, plus a share of a note taker, an automation platform and some API usage. A five-person team lands near A$385 a month; a twenty-person team near A$1,450.
Those figures come from the vendors' own pricing pages, checked on 29 October 2026, added up into the stacks we actually set up for clients. Some vendors show Australian dollars, some only US dollars or euros. Where we converted, we say "about", and we used the same rough rate the vendors themselves use for Claude: a US$20 plan shows up as about A$34 with GST.
The rest of this page breaks the bill into its four parts, then puts two sample stacks together. If you only want one tool's detail, each has its own post, linked as we go.
What does each type of AI tool cost?
The chat tool is the biggest line, at about A$28 to A$47 per person a month for a business plan. Note takers run about US$14 to US$34 per user. Automation platforms start around US$20 a month for the whole business. API usage is often cents per document.
| Tool | Business plan price | Billed | What you pay for |
|---|---|---|---|
| Claude Team | About A$49 a seat a month (incl. GST), a little less billed yearly. Premium seats cost more | Per person | Chat, Projects, Claude Code, connectors, admin control |
| ChatGPT Business | A$35 a seat a month, or A$28 billed yearly. Premium seat A$175, or A$140 yearly | Per person | Chat, custom GPTs, connectors, admin control |
| Microsoft 365 Copilot Business (add-on) | AU$26.91 a user a month on a first-year offer, normally AU$31.40, paid yearly, or AU$37.68 paid monthly, plus GST | Per person, yearly or monthly | Copilot inside Word, Excel, Outlook and Teams |
| Fathom (note taker) | Team US$19 a user a month, or US$15 billed yearly. Free plan available | Per person who records | Call recording, transcripts, summaries |
| Otter (note taker) | Business US$19.99 a user a month billed yearly. Free plan available | Per person who records | Transcription minutes, summaries |
| Granola (note taker) | Business US$14 a user a month. Free plan available | Per person | Meeting notes without a bot joining the call |
| Zapier | Professional from US$19.99 a month billed yearly, or US$29.99 monthly, for 750 tasks | Per business, by volume | Tasks: each step an automation runs |
| n8n (cloud) | Starter €20 a month, Pro €50 a month, billed yearly | Per business, by volume | Workflow runs a month |
| Claude API | Haiku 5.5 US$0.10 per million input tokens; Sonnet 5.5 US$2; Opus 5.5 US$4 | Pay as you go | Automations that run without a person in the chat |
Should we pay for Claude, ChatGPT or Copilot?
Pick one as the main tool and put everyone who handles company information on its business plan. If your office lives in Outlook, Teams and SharePoint, Copilot is worth a look. If you want to build tools and work on long documents, Claude. ChatGPT is a strong all-rounder.
The per-seat prices are close enough that price should not decide it. On Claude, Team standard seats cost about A$49 a month, a little less on annual billing, with a two-seat minimum. Our Claude pricing guide covers every plan, and Claude Code pricing covers what it costs once someone starts building. ChatGPT Business sits at A$35 a seat monthly or A$28 yearly, and the full breakdown is in our ChatGPT Business pricing post.
Copilot is priced differently. Microsoft shows Australian prices without GST, charges about 20 percent more if you pay monthly (AU$37.68 against AU$31.40 paid yearly), and sells it either as an add-on to your existing Microsoft 365 plan or bundled in, at AU$35.20 a user paid yearly for Business Standard with Copilot and AU$47.90 for Business Premium with Copilot. Some advanced features are billed on usage on top. Our Microsoft Copilot pricing post goes through it plan by plan.
What we would not do is pay for all three across the whole team. Plenty of businesses end up there by accident, one licence at a time.
How much do AI note takers cost?
Fathom, Otter and Granola all have free plans that are fine for one person. Business plans run about US$14 to US$34 a user a month. You only need seats for the people who run calls, usually the owner, sales and project managers, not the whole team.
On Fathom's pricing page, Team seats are US$19 a month or US$15 billed yearly, with a two-user minimum; Business seats are US$34, or US$25 yearly. Otter Business is US$19.99 a user on annual billing, and Granola Business is US$14. Expect GST and the exchange rate to add a fair bit in Australian dollars. Our comparison of Fathom, Granola and Otter covers recording consent and privacy, which matter more than the price.
How much do automation platforms like Zapier, Make and n8n cost?
Most small businesses start on about US$20 to US$30 a month on Zapier, or about €20 a month on n8n's cloud plan. You pay per business, scaled by how many steps your automations run, not per person. Volume, not headcount, is what pushes the bill up.
Zapier Professional starts at US$19.99 a month billed yearly for 750 tasks, and climbs to US$89 for 5,000. Its Team plan, for shared logins, starts at US$69 billed yearly. n8n's cloud plans are €20 a month for 2,500 workflow runs and €50 for 10,000, billed yearly; it can also be run on your own server. Make has a free plan with 1,000 credits a month, and its paid Core plan starts at roughly US$9 to US$12 a month for 10,000 credits; its pricing page did not show a firm figure when we checked, so confirm it inside the app. Which one suits what is in our n8n vs Zapier vs Make comparison.
Remember the software the automations connect to. Your accounting and job management tools have their own price tiers, and API access sometimes sits on the higher one. See Xero pricing, our ServiceM8, Tradify, Simpro and AroFlo comparison, and Employment Hero pricing before you plan a build around them.
What does AI API usage cost?
For most small business jobs, cents. The API is billed per use, so an automation that reads each incoming invoice or approval document costs a few cents to a dollar per document, not a monthly fee per person. Claude Max and Team plans include some API credit each month.
Anthropic's API prices are set per million tokens, which is roughly 750,000 words. Haiku 5.5, the small fast model, is US$0.10 per million input tokens; Sonnet 5.5 is US$2 and Opus 5.5 is US$4, with output priced higher. A short email is a tiny fraction of that. The cost only climbs when a job reads long documents over and over, or runs the biggest model on work a smaller one could do.

See the AI auditWhat does a full AI stack cost for a 5-person and a 20-person business?
A five-person business on Claude Team, two note taker seats, a starter automation plan and a small API budget pays about A$385 a month on monthly billing. A twenty-person business on Claude Team with more note taker seats and automation pays about A$1,450 a month, a little less on annual billing.
| Line | 5-person business | 20-person business |
|---|---|---|
| Chat tool | 5 Claude Team standard seats: about A$245 | 20 Claude Team standard seats: about A$980 |
| Note taker | 2 Fathom Premium seats: about A$70 | 6 Fathom Team seats: about A$195 (A$155 yearly) |
| Automation | Zapier Professional, 750 tasks: about A$50 | Zapier Team, 2,000 tasks: about A$175 (A$115 yearly) |
| API budget | About A$20 | About A$100 |
| Total | About A$385 a month | About A$1,450 a month, less on yearly billing |
Swap Claude for ChatGPT Business and the totals barely move. Swap it for Copilot and remember the add-on sits on top of your Microsoft 365 licence, is cheapest on a yearly plan, and is quoted before GST. The API budget line is our working allowance, not a vendor price: set it as a spend limit and look at what you really used after the first month.
Notice what is not in the table: anyone's time. The tools for a twenty-person business cost less a year than a fraction of one admin wage. One construction consultancy we spoke to this month weighed the cost of help against hiring at $70,000 to $80,000 a year. Against that, the subscriptions are small. The question is whether they do any work.
What are the hidden costs of AI for a small business?
The subscription is the cheap part. The real costs are seats nobody uses, staff on the wrong plan, two tools doing one job, and processes nobody has built yet, so the licence just sits there. Those cost more than any price rise.
- Unused seats. A seat costs the same whether it saves someone ten hours a week or none. Licences on their own change very little until people are shown how the tool fits their actual day. That is what our AI training is for.
- Unbuilt processes. Chat tools answer questions. The hours come back when a quote, an invoice or a timesheet check runs on its own. Many owners we speak to have built pieces in Claude or ChatGPT but cannot join them up. Joining them up is what our AI automation work does.
- Personal accounts. Staff paying for their own plans on their own cards, with client data scattered across them. You pay twice and control nothing.
- Overlap. Copilot for the office, ChatGPT for sales, Claude for the owner. Pick one main tool.
- Usage creep. One person running long, heavy jobs can burn through an API budget fast. Set spend limits from day one.
The subscription is the cheap part. Pay for the seats people use, and spend the real money building the process.
Common questions
Can a small business use free AI tools?
For trying things out, yes. For company or client information, no. Free and personal plans can use your content to train models unless someone opts out in each account, and the owner cannot see or switch anything off when a staff member leaves.
Do AI tool prices include GST in Australia?
It varies. Claude shows Australian prices with GST at checkout, Microsoft shows prices without GST and adds it at payment, and many US tools bill in US dollars. Add your ABN in each billing account and check the GST treatment with your accountant.
Is AI cheaper billed yearly or monthly?
Yearly, usually by about 20 to 33 percent. Claude Team, ChatGPT Business, Fathom and Zapier all discount annual billing. Pay monthly for the first few months, then switch once you know which seats are actually used.
Will our AI costs go up as we use it more?
Seat prices stay flat. Automation platforms and API usage grow with volume, so a busy month costs more. Spend limits and a monthly look at usage keep it predictable.
Can we claim AI subscriptions as a business expense?
Generally, software used to run the business is a deductible expense and GST-registered businesses can claim the GST credit. Your accountant should confirm how it applies to you.
