Claude vs Copilot: what to do when you already pay for Microsoft 365.

Most businesses asking this question already have Copilot switched on somewhere. Here is when that is enough, when Claude earns a seat beside it, and when your compliance rules make the choice for you.

Claude vs Copilot: which is better for a business on Microsoft 365?

Neither wins outright. Copilot is better when the work lives inside Outlook, Word, Excel and Teams and your rules say data stays in Microsoft. Claude is better for long documents and for building your own tools and agents. Many Microsoft 365 businesses end up with Copilot for everyone and Claude for the few who build.

The question we hear on sales calls is rarely "which AI is best". It is "we already pay for Microsoft, so do we need anything else?" That is a different decision from picking a first tool, and it turns on three things: who is actually using Copilot today, what job you want done next, and what your IT or compliance rules allow.

If you want the broader, job by job comparison that includes ChatGPT, our ChatGPT vs Copilot vs Claude guide covers it. This post is narrower: you are a Microsoft 365 business, and you are deciding whether Claude belongs next to Copilot.

If we already pay for Microsoft 365, do we need Claude at all?

Not always. If your team's work is email, meetings and short documents, and they actually use Copilot, adding Claude mostly adds cost and confusion. Claude earns its place when someone needs to build tools, work through long documents, or run agents that Copilot handles poorly or only with heavy IT setup.

Start by checking what you really have. Every eligible Microsoft 365 business account includes Copilot Chat at no extra cost: web-grounded chat, file uploads and some access to your mail inside Outlook. The paid Microsoft 365 Copilot licence is what puts Copilot inside Word, Excel and PowerPoint and lets it reason across all your emails, meetings, chats and files. Plenty of owners think they "have Copilot" when they only have the free chat.

Then look at usage. On our workshops, "we're already on ChatGPT or Copilot, should I use Claude as well?" is one of the most common questions we get. The honest answer usually starts with another question: how many of your staff opened Copilot last week?

Where is Copilot the better choice?

Copilot is the better choice when the job happens inside Microsoft apps, when your data cannot leave your Microsoft tenant, and when you want one sanctioned tool for the whole team. It sees mail, calendar and Teams context without extra setup, and it sits under the Microsoft agreement your IT provider already manages.

  • Inbox and meetings. Summarising threads, drafting replies and catching up on a Teams meeting are where Copilot is at home.
  • Compliance. When a client contract, a security program or your IT provider says "nothing outside Microsoft", Copilot and Copilot Studio let you build inside the tenant you already own.
  • One tool, less confusion. Some firms pick Copilot only, on purpose. A commercial real estate agency we spoke with made Copilot the single company tool so nobody had to choose. That is a fair call, and we train to it rather than argue.

If that sounds like your business, the next step is getting people to use what you already pay for. Our Copilot training runs inside Word, Excel, Outlook and Teams on your team's own documents.

What can Claude do that Copilot can't?

Claude is stronger at long, careful documents and at building things: internal tools, dashboards, and agents that run a process end to end. With Claude Code and Projects, a non-developer can build a working quoting tool or report on their own data. Copilot can build agents too, but usually through Copilot Studio and more IT setup.

Where we see the gap most is the person who has outgrown chat. A builder, an estimator or an operations manager wants something that reads their price list, checks a document and drafts the quote, not a better answer in a chat box. That is building, and Claude is where most of our clients do it.

A caution: Claude is only as good as what you give it. An estimate built without your own rates and past jobs will be wrong, whichever tool you use. The tool choice matters less than setting it up on your real work.

Already on Microsoft 365 and thinking about adding Claude for the people who build? Our Claude training sets up the account properly and has each person build something on their own work before they leave.

Can Claude work with Outlook, SharePoint and Teams?

Yes. Claude's Microsoft 365 connector lets it search SharePoint, OneDrive, Outlook and Teams, using only what each person can already see. It is read-only by default, needs a Microsoft business account, and a Microsoft Entra global administrator has to approve it before anyone can connect.

According to Anthropic's help centre, the connector is available on every Claude plan, but personal Outlook or Hotmail addresses cannot connect, and on Team and Enterprise an organisation owner must switch it on too. Write actions, like sending mail, only work if an admin enables them.

That approval step is where most of our setups pause. A Melbourne construction consultancy on Microsoft 365 and Copilot wanted their IT person to check exactly how Claude would touch Outlook and Dropbox before going ahead. That is sensible. Give your IT provider a specific list of what you want connected and why, and the conversation goes faster.

Does Copilot use Claude now?

In some places, yes. Microsoft offers Anthropic's Claude models inside parts of Microsoft 365 Copilot, including the Researcher agent and as a model choice in Copilot Studio, under Microsoft's own terms. Your admin controls it. It is not the same as a Claude account: you get the model, not Claude's apps, Projects or Claude Code.

Anthropic announced Claude in Microsoft 365 Copilot in September 2025, starting with Researcher and Copilot Studio, with access switched on by an admin in the Microsoft 365 admin center. For a Copilot-only business this is useful: you can use Claude's models for heavy research and agents without adding a second vendor. For anyone who wants to build with Claude directly, it is not a substitute.

What does running both cost?

Copilot Chat is included with eligible Microsoft 365 business plans. The full Copilot licence is a paid add-on per user, and Copilot Business suits firms of up to 300 users on an annual commitment. Claude Team costs US$25 a seat a month, or US$20 billed yearly, with a two-seat minimum.

Claude Team prices are from Anthropic's pricing page; Australians see a local price with GST at checkout. Copilot licence options are on Microsoft's licensing page. For the Australian dollar figures, see our posts on Microsoft Copilot pricing in Australia and Claude pricing in Australia.

The cheapest setup we see working is rarely "everyone gets everything". It is Copilot Chat or Copilot for the whole team, plus two or three Claude Team seats for the people building tools.

How should a Microsoft 365 business decide?

Start with your rules, then your people, then the job. If compliance says Microsoft only, the answer is Copilot. If Copilot is paid for and unused, fix that first. If someone needs to build tools or handle long documents, add Claude seats for them, connected to Microsoft 365 with IT's approval.

  • Ask IT what is allowed. Client contracts, security programs and privacy rules can settle the question before you compare features.
  • Count real usage. If Copilot sits unopened, a second tool will too. Training fixes that faster than a new licence.
  • Name the next job. Pick the one task eating the most hours. Inbox and meeting work points to Copilot; quoting, tenders and custom tools point to Claude.
  • Keep company data on business accounts. Whatever you pick, move staff off personal accounts before the habit sets in.

If your business sits mostly inside Microsoft and you want help working out what to build there, our Microsoft AI services cover Copilot Studio, Power Automate and Azure.

If Copilot is paid for and nobody uses it, a second tool will not fix that. Find the job first, then pick the tool.

Common questions

Can we use Claude and Copilot together?

Yes, and plenty of Microsoft 365 businesses do. Copilot stays in Outlook, Teams and Word for everyone, and a few people use Claude for building and long documents. Write a one-page policy that says which tool is for what, so staff are not guessing.

Can Claude sign in with our Microsoft accounts?

Claude Team includes single sign-on, so staff can sign in with the company identity your IT team already manages, such as Microsoft Entra. Your IT provider sets it up once for the whole organisation.

Does Claude work with a personal Outlook account?

No. The Microsoft 365 connector needs a Microsoft business account in an Entra tenant. Personal addresses like outlook.com or hotmail.com cannot connect.

Is Copilot Studio the same as building with Claude?

No. Copilot Studio builds agents inside Microsoft, and can now use Claude models as an option. Building with Claude directly means using Claude's own apps, Projects and Claude Code, outside your Microsoft tenant.

Will Claude or Copilot train on our business data?

Not on business plans by default. Claude Team does not train on your content by default, and Copilot runs under Microsoft's enterprise data protection. The bigger risk is staff using personal accounts for company work.

Checked 29 October 2026. Prices and plan features change often; check the vendor's page and your own checkout before you budget.
